Why roster setup comes first

In BTEC assessment, consistency of student tracking across multiple units is critical. Your Student Database (Roster) serves as the master record for your class. Once your students are registered in checkb.tech, their names, candidate IDs, submission history, and feedback trails stay synchronised whether you are assessing Level 2 Unit 1, Level 3 Unit 2, or an optional specialty unit.

Zero-Effort File Matching
AUTO MATCH
Uploaded DOCX and PDF files are automatically mapped to student profiles based on filename or embedded header metadata.
Seamless Multi-Unit Progression
PERSISTENCE
Track a student's criteria achievement trajectory across all mandatory and optional units without re-entering details.
Audit-Ready IV Logging
MODERATION
Generate standardisation and moderation sheets pre-populated with official student names and Pearson registration IDs.

The screen, in 15 seconds

The Student Database view provides high-density cohort management:

1Cohort Header & Actions: View cohort summary, group classifications, and launch bulk import or single student creation modals.
2Linked Student Record: Displays full candidate name, unique centre ID, attached evidence files, and live criteria status overview.
3Submission Status: Instant visibility into uploaded evidence parts (e.g. Activity 1 presentations vs. Activity 2 reports).
4Pending Status: Highlights learners who have not yet submitted assignments ahead of the centre deadline.

Importing from CSV, Excel, or Word

You do not need to type student names one by one. The Import Roster Modal accepts pasted text directly from spreadsheet software (Microsoft Excel, Google Sheets), school MIS systems (SIMS, iSAMS, PowerSchool), or table exports from Word:

  1. Open the Import Modal: Click the Import Roster button in the Batch View or Student Database header.
  2. Copy & Paste your class table: Highlight your student column(s) in Excel or your MIS and paste into the text box. The importer accepts standard formats:
    • First Name, Last Name, Student ID
    • "Last Name, First Name", ID (e.g. Hayes, Tyler, 9042)
    • Single column list of full names (one per line)
  3. Preview and confirm: checkb.tech parses the columns and shows a clean preview grid with row counts. Click Confirm Import to populate the batch in under two seconds.
Senior assessor tip
Special characters & preferred names: If your school MIS uses compound names or brackets (e.g. Jampana, Charmi Venkata Shiva Sai (Charmi)), checkb.tech automatically stores both the full formal name for Pearson certificates and the preferred short name for quick assessor navigation.

Automatic file linking & naming best practices

When your cohort is established in the database, file upload becomes a simple drag-and-drop operation. checkb.tech uses intelligent fuzzy matching to assign uploaded files to the right student:

Uploaded FilenameMatched Roster StudentDetection Logic
Tyler_Hayes_Unit1_Activity1.docxTyler HayesMatches first name + middle name token with high confidence.
Vance, Chloe_BTEC_Unit1_Report.pdfChloe VanceMatches "Last, First" naming convention extracted from school LMS.
9048_Bennett_Liam_Activity2.docxLiam Bennett (ID #9048)Exact match on candidate ID prefix + surname.
Watch out
Generic filenames: Files named simply Unit1.docx or Assignment.pdf cannot be auto-assigned. In such cases, checkb.tech prompts you with a quick dropdown selector in the upload tray to link the file manually to the appropriate learner in one click.

Grouping & submission deadlines

Managing multiple sets or tracking first submissions versus authorized resubmissions is built directly into batch settings:

Class Sets & Groups
GROUPING
Tag learners with group identifiers (e.g. 10A/Bs1, 10B/Bs2) to filter lists during marking periods.
Submission Windows
TIMELINES
Record official handover dates and 15-working-day Pearson resubmission windows to maintain audit-proof timelines.
Status Filters
TRIAGE FILTER
Filter by All, Needs Review, or Verified to quickly isolate scripts requiring your immediate attention.

Reusing cohorts across Level 2 & 3 units

In BTEC programmes, a single cohort often progresses through multiple units across the academic year (for example, Level 2 Award Units 1 and 2, or Level 3 Extended Diploma Units 1, 2, 3, 4, and 8).

When creating a new batch for Unit 2, simply select Copy Roster from Existing Batch in the creation modal. The entire student database—including names, candidate numbers, and group tags—is duplicated into the new unit workspace without altering your historical Unit 1 feedback or moderation records.

Internal Verification (IV) sampling prep

Pearson BTEC International regulations mandate that Lead Internal Verifiers sample assessor judgements across a balanced cohort distribution. The Roster lens makes sampling selection straightforward:
