A.P1Describe the planning process for a hospitality event Task 2: The first stage will be the planning and promotion of an event with your team for a customer. You will need to complete the planning documentation including for example: • Time plan • Catering requirements • Staffing • Venue set up • Legal considerations • Budget • Promotional items To complete the task, you will need to be observed by your assessor contributing to the promotion, setting up, running and clearing down of an event. You will be required to demonstrate a range of skills. Your tutor, who will produce a detailed observation record and give you feedback on your performance. You will need to write a review of the planning and organisation of the event and making recommendations for improvement. B.P3YES You contributed to the promotion and organisation of your event and worked well as a member of the event team. I witnessed your initial team meeting when you decided the roles and responsibilities each team member would undertake, you evidence can be improved by submitting records of the subsequent meetings the team had during lesson time. However, as I can confirm these meeting took place, I am able to award this grade.
B.P4Contribute to the running of a chosen hospitality event. Description of activity undertaken: • what the learner did • the evidence provided/questions asked, and answers given: Patrick took on the role of event coordinator for the Year 11 coffee morning. He worked with Jessie, Mwamba, Louis, Kevin and Kylie to organise and promote the event. The team was given defined roles: Promotion team: (Jessica and Mwamba) Design posters, labels for coffee/tea, food items, allergen warnings, write announcements, share invitations produce and collect customer feedback Food and beverage team: (Louis and Kevin) Arrange coffee, tea, and cakes. Louis and Kevin will also supervise the making of cakes the day before and slicing and arranging on day. Decorations team: (Kylie) Set up tables, decorations, and seating arrangements. However, Patrick assisted with putting up posters and sending out invites, setting up the room and tables and setting up the refreshment station. During the event Partick helped to greet the invitees and to serve coffee, tea and cake. Patrick and the team mingled with the guests and manned the refreshment station to ensure that it was kept clean and tidy. After the event Patrick and the team all worked together to collect and dispose of any waste, wash and store all the equipment use and clean up and return the hall to its original state.
